Team Management: The Foundation of Capacity Intelligence

In most organizations, capacity planning fails because it relies on a "standard 40-hour week" assumption. In reality, project delivery is impacted by time zones, regional holidays, varying contract types, and individual availability.

The Team Management hub is where you define the Ground Truth of your resource pool. The data configured here—calendars, overrides, and rates—serves as the mathematical foundation for every resource request and every timesheet variance calculation in the system.

Governance: Authority and Scope

To prevent unauthorized changes to labor costs or availability, MSP Planner implements a strict authority model.

The "Effective Calendar" Engine

A professional resource pool is dynamic. A developer might be based in London (UK Calendar), but spend three weeks in New York for a client launch (US Calendar). MSP Planner handles this via the Effective Calendar logic.

1. The Default Calendar (The Base)

The default calendar defines the "standard" working pattern (e.g., 9-to-5, Mon-Fri) and regional holidays. This is the starting point for all capacity calculations.

2. Calendar Overrides (The Dynamic Layer)

Instead of changing a user's default calendar every time they travel or change roles, you apply Calendar Overrides.

  • Scenario: A resource is on a business trip or a temporary secondment.
  • Application: You assign a different calendar for a specific date range.
  • Impact: The system automatically switches the capacity baseline for that period, ensuring that "available hours" reflect the actual local working pattern of the resource.

Precision Labor Costing (Rate Periods)

For professional services and internal cost-center accounting, a single "hourly rate" is rarely sufficient. Rates change due to promotions, contract renewals, or specific project tiers.

MSP Planner uses Rate Periods to ensure financial accuracy:

  • Temporal Accuracy: Define different rates for specific date ranges.
  • Tiered Billing: Set distinct rates for Standard, Overtime, and Weekend work.
  • Auditability: When generating invoices, the system automatically applies the rate that was active at the time the work was performed, not the current rate.

Availability Governance: Managing the "Real" Capacity

The biggest gap in project planning is the "Invisible Absence"—the time a resource is working but not available for project tasks (e.g., training, admin, or personal leave).

The Availability Framework

Availability is the final filter applied to a resource's capacity.

  • Unavailable Periods: Mark time off or leave. This hours are subtracted from the capacity baseline, preventing PMs from over-allocating a resource who is on vacation.
  • Available-on-Non-Working-Days: For critical launches, you can mark a resource as "Available" on a weekend. This adds capacity to the baseline for that specific window.

The Approval Workflow

To prevent "capacity poaching," availability is managed via a request-and-approve flow. Resources request their time off via the self-service portal, and Team Managers approve them here, ensuring that leave is granted only when the project's critical path is secure.
