A milestone is a task with zero duration. It doesn't represent work; it represents an achievement.
Dynamic Milestone Transitions
MSP Planner simplifies milestone management by automatically handling the transition between standard tasks and milestones:
- Promote to Milestone: If you collapse a task's duration to zero, the app automatically converts it to a milestone.
- Demote to Task: If you expand a milestone's duration or change its dates to create a span, it is automatically converted back into a standard task.
This ensures your schedule remains clean without requiring manual type changes every time a date shifts.
Why use Milestones?
- Simplifying the View: Instead of showing 50 tasks to a client, you can show a a high-level timeline of 5 key milestones.
- Anchor Points: Milestones act as synchronization points. You can link multiple tasks to a single milestone to ensure everything is ready for a "Go-Live" or "Design Review."
- Progress Tracking: Measuring progress by "Milestones achieved" is more meaningful to stakeholders than "Percentage of tasks complete."
Deadlines: The Hard Constraints
A deadline is a constraint placed on a task that specifies the latest possible date it can finish without triggering a warning.

In MSP Planner, deadlines are not just visual markers; they are integrated into the scheduling engine:
- Warning Indicators: When a task's calculated finish date exceeds its deadline, the app provides a visual warning.
- Impact Analysis: Because the deadline is linked to the task, you can instantly see how a deadline constraint on a late-stage task affects the start dates of all preceding tasks on the critical path.
Deadline vs. Constraint
It is important to distinguish between a Deadline and a Scheduling Constraint:
- Deadlines: Act as "tripwires." They notify you when a task is late but do not force the scheduling engine to move the task.
- Constraints (e.g., Must Finish By): Act as "hard walls." These force the engine to shift the task's dates to respect the limit, which may move the entire critical path.
Operational Guide: Setting Up Your Governance
To implement milestones and deadlines in your project, follow this professional workflow:
1. Establish the Milestone
- Create a new task and set its Duration to 0.
- The app will automatically convert the row into a Milestone (visualized as a diamond).
- Give it a clear, achievement-oriented name (e.g., "Phase 1 Sign-off").
2. Set the Hard Deadline
- Open the task editor for your milestone.
- Set the Deadline date based on your contract or stakeholder agreement.
- This establishes the "point of no return" for that achievement.
3. Link the Work
- Use the Link tool to connect all preceding tasks to the milestone using a Finish-to-Start (FS) dependency.
- This ensures that the milestone's date is a real-time reflection of the work's progress.
4. Monitor for Drift
- Enable the Critical Path view.
- Look for the Deadline Warning indicator. If a milestone turns red, identify the specific sub-task on the critical path that is driving the delay.
Pro Workflow: Combining Milestones and Deadlines
The most effective project managers use a combined approach:
- Set the Milestone: Create a milestone for "Client Approval of Phase 1."
- Set the Deadline: Apply a hard deadline to that milestone based on the contract.
- Link the Work: Link all necessary development tasks to that milestone.
- Monitor the Drift: Use the critical path and baseline overlays to see if the "Development" work is pushing the "Client Approval" milestone past its "Deadline."
